The arrows move you by day, week or month. The location, **Sport**, **Products** and **Coaches** filters narrow down what you see.

## Reading the colours

The legend is under the calendar:

* **Sport · fill**: the sport, tennis or padel.
* **Audience · border**: **Kids** or **Adults**.
* **Type · left stripe**: the kind of class (group, closed group, competition, semi-private, private, camp, Mix-in).
* **Signals**: the family has an overdue balance, something needs attention, or the coach is off or on holiday.

## Creating a class

1. Click **New class**, or click an empty slot in the calendar.

   ![The New class button](https://310662894-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtfEXMFEU0mFg84Ri6hx%2Fuploads%2Fgit-blob-0f75d3f8f542a035b13886b5af31b02fac07aeca%2Fcalendar-new-btn.png?alt=media)
2. Choose what you're creating:

   * **Academy recurring class**: same day and time every week, with its students. It also shows in **Academy › Groups**.
   * **Single class / private**: just one session, such as a private, a trial or a make-up.

   ![What are you creating?](https://310662894-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtfEXMFEU0mFg84Ri6hx%2Fuploads%2Fgit-blob-1c8203fd734bbeab791cf6de28bbb29723c0fb8f%2Fcalendar-new-pick.png?alt=media)
3. Fill in the day, time, coach, location and court, and save.

   ![The recurring class form](https://310662894-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtfEXMFEU0mFg84Ri6hx%2Fuploads%2Fgit-blob-4dbf369400862bef2c698ddc33a4f6e556791444%2Fcalendar-new-class.png?alt=media)

   ![The single or private class form](https://310662894-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtfEXMFEU0mFg84Ri6hx%2Fuploads%2Fgit-blob-4e7f689b93e95af8d2d9d5839deb1e9819046e60%2Fcalendar-new-single.png?alt=media)

{% hint style="warning" %}
If the coach already has another class at that time, the CRM warns you ("The selected instructor is busy at this time"). Pick another coach or time.
{% endhint %}

## Inside a session

Click a session to open its panel:

![A session's panel](https://310662894-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtfEXMFEU0mFg84Ri6hx%2Fuploads%2Fgit-blob-37d48165516bdb038d2619fe096c30394d9bb4cc%2Fcalendar-session.png?alt=media)

* Warnings show at the top: students who haven't accepted the terms or who owe money.
* **Mark court booked**: confirms the court is booked. Until you do, it says **Court NOT booked**.
* **Take attendance**.
* **Edit recurring class**: changes every future session of the group (day, time, coach, court, level).
* **Edit this session only**: changes just this session (date, time, length, coach, location, court and a note, such as "Covering for Laura"). Save with **Save this session**.
* Further down are the session's students.

You can also **drag** a class to another slot to move it.

## Cancelling a session

1. In the session's panel, click **Cancel session** (at the bottom).
2. Pick the reason under **Why is it cancelled?**, for example "Weather (we cancelled)", and add a note if needed.
3. Underneath, the CRM tells you what that reason means: whether the client is charged and whether it counts for the coach.
4. Click **Cancel session** to confirm, or **Keep it** to leave it as it was.

![Cancelling a session](https://310662894-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtfEXMFEU0mFg84Ri6hx%2Fuploads%2Fgit-blob-82a7fa841b06399ac96fdc5640a23daa32d42855%2Fcalendar-session-cancel.png?alt=media)

Depending on the reason:

* **Rain, a club cancellation or an excused absence**: the group's students get a **make-up credit** to use in another class.
* **A private cancelled by the client**: the time they gave notice is recorded. The cancellation policy decides whether the client pays for the class.

{% hint style="info" %}
By default a cancelled class doesn't pay the coach or cost a court. Only Jesús or Nacho can decide it counts for the coach, always with a reason. That change is kept in **Audit › Counts for the coach**.
{% endhint %}

## What's still to sort out

The **Needs attention** figure at the top leads to the list of what's pending: classes without a coach or a date, payment alerts… Drag undated classes onto the calendar, or click them to pick a slot.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://docs.echevarrisports.com/guia/en/crm-erp/calendario.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
