# Finance

{% hint style="warning" %}
Only for Direction and Financial Control, and only for people with the **Finance** permission switched on in their profile. Inside, each tab also depends on the role (see [Roles and permissions](/guia/en/getting-started/roles-y-permisos.md)).
{% endhint %}

Pick the month at the top right. The tabs are: **Overview**, **Costs**, **Bank**, **Invoices**, **Reconciliation**, **Rates** and **Export**.

## Overview

The month's summary: **Revenue**, **Costs**, **Gross margin**, **Net profit** and **Cash received** (VAT included, as the bank sees it). Below, revenue and costs for each area (External Academy, Internal Academy, camps…).

![Finance › Overview](https://310662894-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtfEXMFEU0mFg84Ri6hx%2Fuploads%2Fgit-blob-00acb46fc0f2c4db278e6b0a5f00a54457da0ad2%2Ffinance.png?alt=media)

If something is missing for the figures to be complete (a rate, someone's pay conditions…), it shows under **Missing for complete figures**. Each line links to where you fix it.

The second row of buttons opens the detailed reports:

| Report                      | What it shows                                                           | Who                             |
| --------------------------- | ----------------------------------------------------------------------- | ------------------------------- |
| **Full P\&L** | The full profit and loss, by area and month by month | Direction |
| **By coach** | What each coach brings in: revenue from their classes minus their cost | Direction |
| **Cash & balances** | Everything received in the month and each family's balance at month end | Everyone who can open Finance |
| **VAT** | Output VAT (on sales) and deductible input VAT (on costs) | Direction and Financial Control |
| **Last year data (import)** | Last year's figures, for comparison | Direction |

![Full P\&L](https://310662894-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtfEXMFEU0mFg84Ri6hx%2Fuploads%2Fgit-blob-bd95fdee783d4e5143f98e5f07933da1befe08e4%2Ffinance-pl.png?alt=media)

![Cash & balances](https://310662894-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtfEXMFEU0mFg84Ri6hx%2Fuploads%2Fgit-blob-18ab0d0c66250bb60605af91cef09e729621b133%2Ffinance-cash.png?alt=media)

{% hint style="info" %}
**Why doesn't cash received match revenue?** Revenue counts what has been consumed (classes given), while cash counts the money that came in. The difference is in **Prepaid** (paid but not consumed yet) and **Receivable** (consumed but not paid yet).
{% endhint %}

To import last year's figures, save the Excel file as CSV and upload it under **Last year data (import)**. Both shapes work: one column per area or one row per figure.

![Last year data (import)](https://310662894-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtfEXMFEU0mFg84Ri6hx%2Fuploads%2Fgit-blob-c7e9fe2572850c7ba8cf210c7436ee9a17498e3d%2Ffinance-historic.png?alt=media)

## Costs

![Costs](https://310662894-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtfEXMFEU0mFg84Ri6hx%2Fuploads%2Fgit-blob-20df1216a589bd661687a54e3e703d1b074d3271%2Ffinance-costs.png?alt=media)

* **Recurring expenses**: costs that repeat every month (rent, insurance…). They post themselves every month.
* **One-off expenses**: one-off costs.
* **Depreciation**: depreciation of assets. The accountant says which assets go in, and each is depreciated monthly (cost ÷ years ÷ 12).
* Team salaries come from **Team › Pay**.

## Bank

![Bank](https://310662894-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtfEXMFEU0mFg84Ri6hx%2Fuploads%2Fgit-blob-0b6e3a46c8eb7df7a7e5504e39b044038966a775%2Ffinance-bank.png?alt=media)

* **Bank connection**: connected accounts (through Enable Banking) bring in their movements every morning. Read-only: nothing can be paid from here. When the bank asks, click **Renew consent**. **Sync now** brings movements in straight away.
* **Import bank statement**: for an account that isn't connected, upload the CSV statement.
* **Add a movement**: record a movement by hand.
* **Kinds**: the categories for movements (taxes, Social Security, Telefónica, electricity…). Each kind says where it counts in the P\&L. Tick **Goes without an invoice** on the ones that never have an invoice, so they don't show as missing one.

## Invoices

![Invoices](https://310662894-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtfEXMFEU0mFg84Ri6hx%2Fuploads%2Fgit-blob-e2383537b373e12aa19c8a2072f232dcb3390f51%2Ffinance-invoices.png?alt=media)

* **Upload invoices**: upload issued (**Issued invoices**) or received (**Received invoices**) invoices, one at a time or a whole folder.
* **New invoice**: enter one by hand, with number, NIF/CIF, date, base before VAT, VAT, IRPF withheld and the PDF or a photo. A **Rectification** corrects another invoice.
* **Google Drive**: bank statements, invoices and payslips come in on their own every morning from the `1. BANCO`, `2. FACTURAS` and `4. LABORAL/NOMINAS` folders. The CRM never changes the Drive. Anything that needs checking shows under **To look at**; once you've checked it, click **Mark handled**.

## Reconciliation

![Reconciliation](https://310662894-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtfEXMFEU0mFg84Ri6hx%2Fuploads%2Fgit-blob-9f5ea3d022335c879eb72b9ec6598caa82b85883%2Ffinance-reconciliation.png?alt=media)

Two matches:

* **Bank ↔ invoices**: each bank movement with its invoice. Movements without an invoice are flagged (**Bank in, no invoice** and **Bank out, no invoice**), and so are invoices without a movement (**Issued, not collected** and **Received, not paid**). To match by hand, pick one or more invoices and the payments that cover them until it says "They add up exactly", then click **Confirm**.
* **CRM payments ↔ bank**: CRM payments against the bank. **Family transfers** finds families' transfers and marks them paid, or leaves them under **Check by hand** if it isn't sure.

**Unapplied** is money received that doesn't cover any charge yet, such as an overpayment or a payment for something not charged yet. It applies itself when the charge is created.

## Rates

![Rates](https://310662894-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtfEXMFEU0mFg84Ri6hx%2Fuploads%2Fgit-blob-9a9c5753a0594379786fa79779c1bc3a145382ce%2Ffinance-rates.png?alt=media)

The price list (Academy fees, price per class, camps…) and cost rates (court hour, extra hour…). Each rate keeps its history of values with the date each starts.

**Hotel closed**: the days the hotel is closed, when courts are covered by the flat monthly rent, pro rata.

Only Direction changes rates.

## Export: for the accountant

![Export](https://310662894-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtfEXMFEU0mFg84Ri6hx%2Fuploads%2Fgit-blob-a6f6d6f325a8e658091d88e93ebb866f8bc003e5%2Ffinance-export.png?alt=media)

**Accountant package** downloads everything the accountant needs in one go: revenue, payments, charges issued, expenses, payroll and the tax summary. You can also download each part on its own with **Download CSV**.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://docs.echevarrisports.com/guia/en/crm-erp/finanzas.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
