# Reports

{% hint style="info" %}
Only people with the **Reports** permission switched on in their profile (**Team › person › Access**) see this section.
{% endhint %}

How we're evolving with clients and operations. Tabs: **Overview**, **Marketing**, **Academy** and **Definitions**.

## Overview

The month's revenue, margin and profit, growth, new clients, court and camp occupancy, churn, renewals and other figures.

![Reports › Overview](https://310662894-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtfEXMFEU0mFg84Ri6hx%2Fuploads%2Fgit-blob-ac9d3a0d359f16d7700d47f227864e63bd4233d7%2Freports.png?alt=media)

## Marketing

Where clients come from and what it costs to get them:

* **Leads**, **Converted** and **New paying families**: leads, families who signed up and families who made their first payment in the period.
* **First response**: how long we take on average to handle a new lead.
* **Ad spend**, **Cost per lead**, **Cost per paying family** and **ROAS**: what we spend on ads and what each client costs us.
* **By channel and type**, **By location**, **Referred by** and **By campaign and ad**.

### Campaign links

Instead of sending people to the Instagram profile, point each ad to one of these links. They open the website with the campaign's details already set, so each lead is tied to its campaign and ad.

To create one, give it a short name (for example `autumn-academy`), the campaign name, the type (Meta ad, Google ad, bio link, story, QR, message…) and the ad.

### Import ad spend

Until Meta and Google are connected, upload their CSV export broken down by day:

* **Google Ads**: Campaigns → pick the dates → Segment → Time → Day → Download → CSV.
* **Meta Ads Manager**: export the report broken down by day.

### Connections

Google, Instagram and Facebook fill in Reports on their own every morning once they're connected. Read-only.

The whole Marketing page, with campaign links, the ad spend import and connections at the bottom:

{% hint style="warning" %}
For the marketing report to be useful, every family needs **How they found us** filled in. New bookings bring it from the website. For the rest, fill it in on the lead or the family.
{% endhint %}

## Academy

The Academy's figures by period: students, group occupancy, churn, renewals and leads who never signed up.

![Reports › Academy](https://310662894-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtfEXMFEU0mFg84Ri6hx%2Fuploads%2Fgit-blob-2aa6f4d8a7b09f038a86475cdd9a8e369ab56642%2Freports-academy.png?alt=media)

## Definitions

What each figure means and how it's calculated. If you're unsure about a number, start here.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://docs.echevarrisports.com/guia/en/crm-erp/informes.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
